Overview

 

As the Receptionist you will be located within the AMRC Cymru facility and play a key role in supporting the group.

You will play a key role in supporting the centre contributing to the mission and vision of the leadership team, and involve you working closely with Administration Teams both within AMRC Cymru and also AMRC Sheffield, and our professional and motivated engineers in a supportive team environment. You will also have opportunities to interact with members and clients to support the delivery of world-leading manufacturing processes and technologies.

You will provide staff and visitors to both the AMRC and Airbus offices with a high standard of reception service, as you will be the first point of contact when meeting and greeting visitors. Your role will also include dealing with a range of enquiries by email, telephone and in person.  As this role is a customer-facing role and it is very important that you are able to communicate effectively and politely. You will also need to have excellent organisational skills in order to maintain a high degree of accuracy in a busy environment. 

 

Main duties and responsibilities

 

  • Provide a customer focused, high quality reception service, dealing with a range of enquiries and dealing with visitors to this facility and ensuring a site induction has taken place.

  • Notify both AMRC and Airbus staff in a timely fashion of the arrival of their guest.

  • Maintain and organise the reception area to ensure a professional image.

  • Appropriately process and transfer email, telephone, and in-person enquiries.

  • Manage meeting room bookings, which includes taking bookings (internal and external), capturing all meeting room requirements are stated, and ensuring that all meeting rooms are presentable at all times.

  • Record and report visitor information to support the collection of engagement data.

  • Keep contact lists up to date for both AMRC Cymru and Airbus. 

  • Support the planning and delivery of events hosted at the AMRC Cymru facility.

  • Receive and distribute incoming mail and deliveries.

  • Control access to the rear service yard for delivery of goods.

  • Monitor levels of stationery stock and replenishing when necessary.

  • Manage personal workload and work to strict deadlines without the need for supervision.

  • Update and control calendars of meeting rooms and senior staff as required.

  • Update and distribute the internal weekly newsletter.

  • Assist the Administration Team with ad-hoc requests which may include:

    • Organising travel, including booking transport, accommodation and any other necessary arrangements.

    • Assist with procurement activities using the University SAP system.

  • Attend relevant training and complete assignments as part of the apprenticeship programme along with off the job training elements.

  • As a member of staff you will be encouraged to make ethical decisions in your role, embedding the University sustainability strategy into your working activities wherever possible.

  • Carry out other duties, commensurate with the grade and remit of the post.
