Overview
To meet University strategic aims, a product and service-led strategic framework has been developed to allow the IT team to iteratively co-design, develop and deliver new and existing services for our customers. This role will be critical to the delivery of this new and innovative approach and will report to the IT Asset and Supplier Manager.
IT Services at the University of Sheffield provide a full range of complex IT and technology-enabled services that support education, research, workplace, corporate services and infrastructure enablers to all our staff and students. This large and highly innovative department is undergoing a significant amount of change as it establishes itself as a key enterprise IT partner that works across the University, with stakeholders and key partners to deliver enterprise-wide products and services in line with strategic aims.
As IT Asset Management (ITAM) Analyst, you will be responsible for centrally managing all assets within the university throughout their full lifecycle. You will work with the IT Asset and Supplier Manager, as part of the wider IT Asset and Supplier team. You are responsible for the CMDB / Asset Repository and managing the IT hardware asset portfolio for risk, cost control, governance, compliance and performance objectives. This will include the administration and development of the CMDB / Asset Repository using HAM Inventory/Request toolsets (SNOW, SCCM and TOPdesk).
You will contribute to the process and operations of our Hardware and Software Asset Management function by providing administrative, analytical, and inventory support.
Main duties and responsibilities
- Managing the IT Asset Repository and Snow Licence Manager, responsible for maintaining accuracy and data control of both technical solutions
 - Responsible for all enquiries for data and reports from the universities asset management sources
 - Responsible for liaising with various stakeholders and departments on acquisition, deployment, utilisation, tracking, security and final disposition of IT assets
 - Ensure that all operational staff with access to the Asset data have guidance and training on how to accurately update Asset records
 - Responsible for managing the IT Hardware Asset database for risk, cost control, governance, compliance and performance objectives
 - Ensure a high level of accuracy and data analysis, with continual improvement objectives to assess and mature the university ITAM function
 - Responsible for the administration and development of the CMDB using HAM Inventory/Request toolsets (SNOW, SCCM and TOPdesk)
 - Contribute to administrative support for the IT Asset and Supplier Team
 - Provide data and reporting for spend and stock internally to various business functions
 - Work closely with the Product Teams to implement tracking of starters and leavers and building a process
 - Cover for the software Supply Coordinator, dealing with software requests and approvals, updating all front page and web details for software distribution to end users
 - Technical owner and main contact for the IT Asset repository and SAM tool for the university
 - Promote IT asset management good practice throughout the University
 - Develop and maintain ITAM documentation, processes and procedures
 - Assist the IT Asset and Supplier Manager in validating licensing for various vendors
 - Raise requisitions when necessary for software and hardware
 - Monitor software usage against entitlement, highlighting over or under usage
 - Identify areas for license re-harvesting and monitor progress
 - Carry out other duties, commensurate with the grade and remit of the post
