Overview

 

The Clinical Staffing Coordinator will provide a high-quality support service to staff across the School acting as the first point of contact for enquiries related to clinical staffing and scheduling.  Activities will include producing and maintaining clinical staffing allocations, ensuring that all clinical teaching events are appropriately staffed.

 

You will work closely with School and Trust colleagues, offering advice and referring complex queries where needed.

 

You will have excellent IT literacy, including experience of using Microsoft Office. Excellent communication skills both written and verbal are essential, along with excellent customer service skills and have the ability to work flexibly

 

Main duties and responsibilities

  • Act as a first point of contact to provide a range of information and advice on clinical staffing allocation, processes and policies, escalating complex queries as needed.
  • Allocate staff to the clinical timetable, with consideration of availability and expertise.
  • Monitor and action clinic cancellations, liaising with colleagues as required.
  • Support academic and clinical colleagues to manage annual leave and sickness absence, providing advice on School and University HR procedures.
  • Ensure that staff payment claim forms are monitored, recorded and processed in liaison with the School Operations Team. 
  • Support the Induction process for new Clinical Teachers, working with the School Operations Team.
  • Provide support for staff training days, including room booking and communicating information to relevant staff.
  • In discussion with the Heads of Academic Unit, plan a programme of staff meetings throughout the year and provide administrative support and minute-taking.
  • Provide administrative support for the SRDS process for clinical teachers arranging meetings, chasing paperwork and recording on SAP as required.
  • Ensure that the University staff policies and procedures are implemented effectively including absence reporting.
  • Manage data and records keeping in line with GDPR, filing confidential files as required and maintaining electronic documents, records & databases.
  • Carry out other duties, commensurate with the grade and remit of the post.
