Overview
We are seeking a First Contact Administrator to work within the Student Jobshop and First Contact team which forms part of the Careers & Employability Service within Student & Academic Services. The successful candidate will be joining a front-facing student team providing triage Careers support with additional responsibility for assisting students with their search for part-time work and other work experience both on and off campus.
Working as part of a small team, the successful applicant will help generate vacancies, support employers, support the myJobshop agency function which includes full recruitment support for student casual workers, and provide 1-1 support to students in their job search. The role will primarily be based in the Employability & Placement Hub within the Students’ Union, and will include liaising with key stakeholders primarily students, graduates, employers and internal colleagues. The work will include registering and administering on campus student casual workers completing compliance checks and facilitating timesheet and payment processes, following up leads and researching external vacancies and inputting these to our vacancy system, assisting students in person, by phone and email; and working on various projects and events aimed at students finding part-time work.
The ideal candidate will have excellent communication and customer service skills, a student centred approach to working in a fast paced and changing work environment, as well as excellent attention to detail.
Main duties and responsibilities
- To provide administrative support to the Student Jobshop.
- To provide excellent customer service and front line services to staff, students and key stakeholders; dealing with enquiries in an efficient, friendly and professional manner.
- To process student worker registrations, adhering to legal and best practice guidelines for agency provision.
- To carry out right to work and relevant compliance checks for student workers.
- To assist in the generation of part-time work with local employers
- To support the production of management information relevant to the service as and when required.
- To use, monitor and maintain specialist/technical systems to manage vacancies, and student worker records including archiving.
- Give demonstrations to others on how to use systems as required.
- To provide operational support for the planning, organisation, delivery and staffing of key projects/events (may include occasional out of hours work).
- To carry out small projects as and when required.
- Carry out other duties, commensurate with the grade and remit of the post
