Overview
To ensure that the Mechanical services plant and equipment on the University estate are sound, safe and legally compliant and that policies, procedures and standards for planned maintenance and inspection are understood and implemented effectively. To assist and support the day to day maintenance activities for a specific area of the University estate, liaising and working with colleagues on estate wide activities.
The Department of Estates and Facilities Management (EFM) at the University of Sheffield is responsible for maintaining the University's buildings, facilities, and grounds, managing its property and facilities, and procuring new buildings.
The University’s estate contains a wide and varied range of properties which understandably present their own challenges. Some, such as the Arts Tower, are of great architectural importance and must be preserved as part of our national heritage, whilst others such as the award-winning Information Commons and the Students’ Union are modern and sophisticated in their design and servicing.
Main duties and responsibilities
· Responsible for mechanical engineering works within the designated zone and in other disciplines or zones to assist with the effective operation of the Department.
· Prioritising requests for reactive and planned maintenance from Helpdesk and other sources by visiting and contacting the relevant departments to agree specific works.
· Ensuring statutory maintenance is managed in a timely manner e.g. pressure systems, boiler servicing and LEV’s, ensuring comprehensive records are maintained.
· Issuing instructions for maintenance works to be carried out in a timely, cost efficient manner by either University staff or external contractors, ensuring works comply with current legislation, Health & Safety codes of practice and University standard procedures and specifications.
· Managing a team of University technical staff and contractors, inspecting works to ensure they are carried out to specification, programme and budget.
· Carrying out maintenance project works, identifying the requirements of departments and preparing a design brief. Preparing designs for minor works including specification and tender documents according to University and departmental standard procedures and specifications, current legislation and health & safety codes of practice. Issuing tenders and subsequent orders. Preparing and maintaining a programme of work. Supervising works to ensure conformance to specification, programme and budget. Commissioning completed installations, management of defects.
· Processing orders, invoices and other documentation, ensuring value for money and that budgetary control, University and departmental procedures are maintained. Maintaining records on maintenance activities and items subject to statutory legislation and inspection.
· Liaison with relevant staff to maintain effective communication to facilitate the work of the departments.
· Assist in the running and development of the University’s maintenance management system, attending training courses for updates on the system.
· Assist in the running of the Planned Preventative Maintenance systems formulating working instructions for designated areas of work.
· Maintenance and development of Planned Preventative Maintenance programmes for all mechanical systems including items subject to statutory inspection and certification.
· Assist in the development, implementation and management of the maintenance contracts and programmes for the BMS, fume cupboards/LEV’s, gas boiler servicing, specialist gas systems, clean rooms, insurance inspections including pressure systems.
· Be a member of the department on-call manager team as required.
· Carry out other duties, commensurate with the grade and remit of the post
